Clinical Performance & Operations Platform
Replaced manual spreadsheet-based performance tracking with a live platform that pulls data from MindBody and Go High Level, surfaces real-time KPIs tied to clinician compensation, and eliminates the recurring admin burden for the whole practice.
The Challenge
Back to Normal PT tracks granular performance metrics for every clinician and staff member in the practice - hours worked, appointment volume, pipeline conversion, and KPIs that directly impact bonuses and pay. For a long time, all of it lived in spreadsheets.
The administrative cost was significant. HR and admin staff spent hours each pay period manually pulling numbers from different systems, calculating metrics by hand, and keeping the spreadsheet current. Clinicians were entering data they shouldn't have had to touch. And every new year required a full rebuild - a 10-to-15-hour lift that the practice couldn't do internally and had to pay someone else to complete.
On the sales side, leads were being tracked manually in a separate spreadsheet: follow-up dates, pipeline stage, conversion status. Leads were slipping through the cracks, and there was no visibility into which stages were leaking or how long prospects were sitting before converting.
The result was a practice where everyone - clinicians, HR, admin, and the CEO - was spending time on data entry instead of patient care and decision-making.
The Solution
We're building Back to Normal PT a custom performance and operations platform: a single system that pulls data from their existing tools, eliminates manual entry, and surfaces the metrics that matter to each role in real time.
Automated data ingestion. Rather than asking clinicians to enter everything manually, the platform connects directly to MindBody (appointments and point-of-sale) and Go High Level (CRM and lead pipeline). Clinicians only log their hours worked - the rest of the data comes in automatically. No duplicate entry, no reconciliation.
Role-based dashboards. Every user sees exactly what they need and nothing more. Clinicians get their own performance view: hours, appointment metrics, KPIs, and a live picture of what they've earned. Managers get visibility across their team. The CEO gets a high-level view of the full practice - performance trends, pipeline health, and payroll exposure - without touching a spreadsheet.
Real-time KPIs tied to compensation. The platform computes each clinician's KPIs on a rolling basis, so there are no surprises at the end of a pay period. HR no longer calculates compensation manually every two weeks - the system does it, and the numbers are auditable and consistent.
Lead pipeline visibility. By pulling in CRM data from Go High Level, the platform surfaces lead conversion metrics the practice has never had before: average time in each pipeline stage, conversion rates by source, and which leads need follow-up - so nothing slips through the cracks.
The Result
This project is currently in development, but the path to value is clear. Eliminating manual data entry and the annual spreadsheet rebuild is projected to save $50K+ per year in administrative effort - time that goes back to clinicians seeing patients and managers making decisions.
Beyond the immediate savings, the platform is designed as a foundation. As Back to Normal PT grows, the same infrastructure can absorb features from tools they're currently paying for but only partially using, consolidating their tech stack and keeping every piece of operational data in one place.
